- Assist members with medication questions or concerns.
Meeting Coordinator (Carvi Shamsid-Deen)
- Schedule meetings to be held at Harris HEB hospital (or at place determined to be appropriate venue).
- Facilitate meetings or arrange for another member to do so.
- All meetings to be coordinated through the Meeting Coordinator.
- Each year, in the list of speakers, include a lawyer for disability issues, a psychologist for coping issues, and one or more "helpful solutions" meetings where members simply share what's helping them

Schedule the room with Harris HEB Hospital (or wherever for alternate meetings (such as the annual meetings we have in conjunction with Irving).

Confirm with the speaker a few days before the meeting (this could be another volunteer).

Send a reminder announcement on the email groups If this information is posted on the calendars at the egroups an announcement can be sent out automatically.
Meeting Facilitators (Carvi Shamsid-Deen)

Come early to meetings at Harris Methodist HEB in Bedford (or elsewhere as required) on either the third Tuesday night of the month or the following Saturday afternoon.

Arrange table and chairs if necessary.

Post signs that will be sent to you (via email attachment).

Put out one sheet that gives new folks info on our group and tells them who to contact for info and how to get the newsletter (also sent to you via email attachment or use the New Member Pack from the website — should be the same information)

Start and stop the meetings on time.

"Meet and greet" the speaker: make them feel at ease and make sure they have what they need; if not, help them get it (if possible).

Introduce the speaker.

Facilitate any Q&A session as needed (i.e. don't let anyone dominate or get too far off topic)

Ideally there would be three or four facilitators who would share the responsibility of our eleven meetings a year. Facilitators do not need to find speakers for the meetings—just facilitate the meeting.
Newsletter, Distribution Manager (Carvi Shamsid-Deen)
Oversee the Newsletter Distribution Process (Do or ensure tasks are done by appropriate volunteers):- Copy the newsletter.
- Prepare the zipcode list.
- Prepare and deliver/pickup the mailing labels.
- Pick up the bulk mail trays.
- Fold, seal, and label the newsletters.
- Fill out the necessary form from post office.
- Deposit the money at the post office account.
- Take the trays to the post office.
Set the newsletter distribution schedule to be determined by:
- The first meeting announced in the newsletter
- Allow two weeks for delivery (from time of final copy receipt from Newsletter Editor to postal delivery).
- Find out when the appropriate group can do the labeling.
- Coordinate with the Newsletter Editor regarding the receipt date of final copy.
Newsletter, eGroup Moderator (Carol Sieverling)
- Add those requesting be added or needing assistance subscribing to the list.
- Put the latest newsletter file in the Files section.
- Post a notice to the group about the availability of the newsletter (include an accurate, short link, and a link to the free Adobe Acrobat Reader software)
Newsletter, Managing Editor*
(Do or ensure tasks are done by appropriate volunteers):*- Produce the newsletter, overseeing any volunteer writers &/or editors.
- Will submit the newsletter to the Support Group Leaders with sufficient time for them to proof/edit it (provide a 5-day turn-around deadline so the newsletter production process is not disrupted yet enough proof/edit time is provided).
- The content and format of the newsletter belong to the support group and are subject to review or modification at the discretion of the Board of Directors.
- Find relevant articles.
- Coordinate information with Webmaster and SnailMail Information Manager to keep website and newsletter up-to-date.
- Receive articles (and posts) of submission from volunteers.
- Determine which pieces will go in the newsletter and their priority.
- Find Pubmed ID numbers and/or original sources of information.
- Do final edit on all pieces.
- Handle layout and design.
- Verify links (both before & after layout).
- Coordinate newsletter project.
- Send pdf of finished newsletter to the DFW_Newsletter egroup moderator (Carol Sieverling) to: place online and announce online availability of newsletter.
Newsletter, Production Assistants (specifically Research & Technical Editors)*
- Sift through info to find potential newsletter articles available from the several sources.
- Do an initial edit on these articles and send them & the original to the Newsletter Editor.
- You can do either or both the "sifting" and "editing."
- Ideally, several folks would be doing both.
- Research and verify information.
- Veryify links and original source information.
- Proofreaders for articles and
- Write (or find) articles for submission to the newsletter; be sure to run the idea past the Newsletter Editor before writing it specifically for the newsletter.
- Request articles from professionals on our referral list.
- All this happens primarily via email—any volunteer should, ideally, be online.
Phone Line Manager (Carvi Shamsid-Deen)
- Keep messages updated.
- Return calls as needed.
- Refer calls to others as needed.
Phone Support (Carla Arledge)
- Call people who have requested a return call.
- Direct people to the correct person or place.
Referral List Manager (Debbie)
- Maintain and update the info in our referral list.
- Respond to email requests for information.
- Created printed copies of the Referral List for new members not online.
SnailMail Information Manager (Carvi Shamsid-Deen)
- Mail out info paks to those who request them.
- Keep information sheets (the New Member Pack from the website) up-to-date (making sure that this info & the website info is identical).
- Mail Kroger cards to those who request them (and include them in the info paks).
Social Activities Coordinator (Brenda McCree?)
- Plan social events.
- Coordinate with other staff as needed.
- Solicit ideas for social events from group.
- Send out email reminder of social events to group (can use Evite for this).
Speaker Coordinator (Carvi Shamsid-Deen)
- Contact potential speakers to see if they will speak to our group; professionals from our referral list are a good source of speakers.

Schedule the speakers in time to get the final information to the Newsletter Editor to put in the newsletter and the Webmaster to post on our website.
- Email or mail necessary information to speakers.
- Solicit suggestions for speakers on the announcement list.
- All suggestions for speakers will be sent to the Speaker Coordinator.
Video Manager (Jake)
- Coodinate & process video (or other media) orders.
- Coordinate information with the Newsletter Editor and Webmaster to keep website and newsletter up-to-date.
- Respond to email inquiries as necessary.
Webmaster*
- Manage the website.
- Create and update pages as necessary.
- Advertise and market the website. Maintain those accounts.
- The content and format of the website belong to the support group and are subject to review or modification at the discretion of the Board of Directors.
